We’ve just launched a new integration, and it’s a big one—not because it’s flashy or complex, but because it opens up a new chapter for Outfunnel.

You can now sync your CRM data directly to Google Sheets, one of the most widely used tools by sales and marketing teams around the world. This might sound like a small addition at first glance. But for us, it’s something bigger.

From “just syncing sales and marketing tools” to powering go-to-market operations

When we first launched Outfunnel, our focus was clear: help sales and marketing tools talk to each other better. And we’ve done that—whether it’s syncing contacts between CRM and marketing automation platforms or bringing engagement data back to your CRM, we’ve made sure revenue teams can work off the same data, automatically.

But we’ve always known there’s more to the story.

Modern go-to-market teams use more than just CRMs and email platforms. They build dashboards in spreadsheets. They collaborate across tools. They analyze pipeline data, campaign performance, and lead progression in ways that no single app can cover on its own.

You may have heard of Salesforce. It’s the market-leading CRM platform used by more than 150,000 companies including the likes of Walmart, NASA, and Amazon but also many less famous organizations. 

We’ve had a limited Salesforce integration for a while already, and several of our customers are using it to connect lead forms to Salesforce. 

The key feature that’s been missing is deep integration between Salesforce and various email automation tools like Mailchimp and Klaviyo. We simply haven’t had the bandwidth to get around to building it. Until now, that is.

You can now connect Salesforce to marketing automation tools deeply and easily

We’re pretty excited to release our most popular feature for Salesforce customers. You can now use Outfunnel to deeply connect your Salesforce account with several popular marketing automation tools like Mailchimp and ActiveCampaign.

The integration lets you sync email engagement to Salesforce contacts records as Activities. This way team members have context on which leads have been engaging with marketing emails and are potentially more interested in hearing from sales.

When you first activate the connection we’ll also sync any email engagement from the last 30 days, a longer historical sync is available upon request.

We have some exciting news to share with you as we’ve just released our most important (and most complex) feature to date but before we go into details we need to talk about the best practices for managing customer data. 

For sales and marketing teams to work together they need to work off the same data. 

A contact can’t be a potential lead in one database and a paying customer in another. If they were, they’d receive irrelevant information or sales might miss signals that the contact is ready to buy. 

But this you know already. Everyone knows this. 47% of sales and marketing leaders think that their sales and marketing tools would be more useful if they were easier to integrate.

“Single source of truth” is the right approach – but not in every situation

I’ve worked with many sales teams and I’ve even worked at a CRM company for 7 years so I’m a big fan of the “single source of truth”. It’s a straightforward concept that advises to centralize data in one place in cases where various stakeholders use the data in various ways.

In the microcosm of sales and marketing tools, the best practice is to treat your CRM as the single source of truth. And this single-source-of-truth-data can be copied and synced to other revenue tools. For example, marketing automation tools.

When an opportunity is marked won in the CRM the relevant contacts can automatically be removed from the leads list in the marketing tool, and an onboarding sequence can be started. 

Makes sense, no? CRMs and marketing automation tools offer native integrations for simple connections and you can use specialist data integration tools like Outfunnel where native integrations are not available or setup is more complex. 

Alas, the best practice is not always the best solution. For example, a company may operate with a large quantity of leads with only a small number of them converting into MQLs or SQLs. This large quantity of leads only interacts with emails and a website and has no touchpoints elsewhere in the organization. Do they need to be part of the single source of truth? Probably not. 

Or, in the words of our users:

Ideally would like all leads with an ActiveCampaign lead score higher than X to be synced over to Copper along with engagements that are behind the score

How do I sync the Mailchimp tags with Pipedrive contacts?

The setup without a single source of truth for all contacts may look something like this:

One database for leads, another one for customers. The necessary data is synced both ways. Unqualified leads are exempt from the single source of truth. 

In our six years of operations, we’ve come across many more setups that make sense without defining a single source of truth. 

Long story short, it must be possible to sync data two ways (aka bi-directionally) to enable all the use cases that revenue teams need.

If you’ve read so far, you’ve already guessed that is exactly what we’re releasing here.

Outfunnel can now sync contact data 2-ways

With our new two-way contact sync, you can run your sales and marketing operations exactly as you like. 

You can sync all your contacts across your tools, or only select specific segments. For example, only contacts with open deals or only contacts with a certain label or tag. 

You can pick which of your tools is the source of truth in case of data conflicts.

You can sync all fields bi-directionally or specify certain fields to only sync one way. 

Field mapping in Outfunnel when syncing data 2-ways

You can initiate your desired workflow once the data has been synced. For example, when a new contact has been synced from your marketing automation tool to your CRM with a label “MQL” you can use the workflow automation feature of your CRM tool to schedule a follow-up activity for a colleague.

And of course, one key feature of the two-way data sync is that it’s always on, 24/7. No more manual copy-pasting or importing-exporting. Ever. 

The main use cases for 2-way syncing of contact data

With our new bi-directional contact sync you can do things like:

  • Keep a leads database in your marketing automation tool and a customer list in your CRM, and only sync leads that are qualified (match MQL criteria) to your CRM
  • Keep CRM as your single source of truth and enrich this with useful information from your marketing automation tool. For example, sync over subscribe status or tags/labels from your marketing tool to your CRM
  • Sync all new subscribers from your marketing automation tool to your CRM. 
  • Last but not least, keep your CRM and marketing automation tool contacts in sync so that when data is changed in one tool this gets reflected in the other.

Finally, it’s worth pointing out that, in a way, we’ve synced data bi-directionally between CRMs and marketing tools from day one. Namely, we’ve synced email engagement, such as opens and clicks, to the CRM. But now we offer a bi-directional contact sync as well, so you can pick and mix your revenue tools, and the data would be as easily connected as if you were using an (expensive) all-in-one product suite.

LinkedIn has a wide variety of lead generation options that we’ve covered in this post. Running ads on LinkedIn is a straightforward way to get in front of the right audience. Setting up a connection between LinkedIn Lead Forms and your CRM takes less than 3 minutes (we’ve timed it).

First, log in to Outfunnel, go to the App Connector page, and select “LinkedIn Lead Forms” from the list of available apps. We will prompt you to connect the LinkedIn account you use to access your LinkedIn advertising accounts.

Next, choose the form(s) you’d like to start syncing to your CRM and define field mapping. We support all popular field types, and you can even map hidden fields to be synced over.

Finally, decide how you want new leads to be recorded in your CRM. Many companies prefer creating a custom activity/task for new leads, but you can also choose to update a tag/label.

If you’ve been following Outfunnel, you already know we’re all about we’ve been all about syncing sales and marketing data. Getting data from a CRM to a marketing automation tool or vice versa, or getting new leads from your website into your CRM. 

Some of you have loved this (and we’re always happy to read positive feedback like this or this tweet below.

But the one question we’ve been asking ourselves is: is syncing data helping our customers win more business? Are we helping to generate more leads, or to close them faster? 

The answer seems to be “yes” but we’re confident we can do a better job at that. We can also do a better job at explaining the value of having sales and marketing data in sync, and I’d like to start doing that with this post.

There’s a key difference between Outfunnel and tools like Zapier

Lots of tools sync data between different tools, you see. If you’d like to sync a new Calendly lead to Copper there are dozens of tools like Zapier that let you do that.

We’ve been saying that, compared to these alternatives, our integration is deeper — but what does that mean?

It’s not about “syncing data”.

It’s about having all the marketing history in one place.

It’s about using all email, web, and other marketing engagement data in one place to be able to confidently say when a lead is ready to buy and when they need more nurturing.

Finally, it’s about easily taking the next best action with each lead. To add someone to a nurturing campaign, for example, or to remove someone from a nurturing sequence and scheduling a follow-up task for a colleague in sales.

Did you know we offer lead scoring and web tracking (to help you understand your leads better)?

Over the years, we’ve added two nifty features to help our customers get a better sense of their leads. We initially built them as experiments and because our customers have liked them, we’ve kept them and made them better over time.

The first of these, Web visitor tracking software lets you see which of your leads are visiting your website and what pages they navigate to. We also capture the source of each visit which makes it easier to analyze sales and marketing activity holistically. 

Then there’s our Lead Scoring Software that lets you calculate a score based on email engagement (from any marketing tool we integrate with), specific web pages visited, and — the latest addition — activities that have been completed in the CRM. For example, having visited a booth at a trade show or participated in a sales call. The scores can auto-decay and all, it’s really useful for highlighting the most engaged leads.

We offered these features without an extra charge because they were quite basic. But they’re both proper tools now, used by an increasing number of companies.

We’ve realized we’re not a “data syncing” tool but a sales and marketing workflow tool

Let’s recap. 

Outfunnel has allowed you and will continue to allow you to sync sales and marketing data. We do this in a secure, hassle-free way. 

Based on the synced data, you can create complete contact profiles with website behavior, email engagements, lead source information, and more right in your CRM (or in Outfunnel). 

You can then do lead segmentation and lead scoring based on cross-platform contact and engagement data. 

And once you know who’s a warm lead and who’s not, you can trigger workflow and marketing automation based on segmentation and lead scores.

One important detail about the latter is that the workflows can be cross-platform, not tied to only your CRM or only your marketing automation tool. For example:

  • Changing the status of a contact from “lead” to “customer” in your CRM can trigger a workflow that removes them from the leads newsletter list in your email marketing tool and starts an email sequence designed for customers.
  • Clicking on a link in a newsletter that is sent from a marketing automation and visiting your website can change someone’s lead score to be more than X, and this can trigger a workflow in your CRM that adds a “Follow-up” activity in your CRM for the right salesperson.

What’s changing: our “value metric” and pricing tiers

So hopefully you’ll agree our product has come a long way from syncing data from tool A to tool B, and it was about time our pricing reflected that.

Starting from today, we’re changing the main “unit” of pricing from Events to Active contacts. A contact is counted as an Active Contact if any of the following is true for the given billing period:

  • The contact is part of a contact sync
  • An email or other marketing engagement has been recorded for the contact
  • The contact has visited your website
  • The contact has a lead score

The Active Contacts number is easier to understand and calculate, and it’s a number that’s well-aligned between us and our customers. The more someone has Active contacts, the more data we have to process to create full profiles and the more value we create for customers.

We’re also changing our price tiers. 

Outfunnel is at its most useful when you can sync data in different ways, see what leads do on your website with web tracking, calculate lead scores and initiate cross-tool workflows. We’re bundling all our revenue marketing features into our Professional plan for these users. And we promise to make this suite increasingly useful.

We have many users whose only need is syncing contacts between tools, and we’re introducing a more affordable Basic plan for them that is designed to sync contacts only. It’s great for syncing your CRM segments over to a marketing automation tool, or for syncing new web leads in your CRM. 

The new pricing tiers, value metric and prices are live for new customers already. There are no changes for existing customers at this stage but we’ll start migrating them to the new plans in the coming months. If you’d like access to the new plans (and the features they include) sooner, please contact us via the in-app support messenger.

We’ve gone from simply sending emails and syncing data to being a sales and marketing workflow platform and we needed a new “home” in the app to help you get an overview of everything that’s going on as well as anything that needs your attention.

The new dashboard, available for all users immediately, gives you a snapshot of all the activity with your marketing contacts that Outfunnel syncs or tracks: 

  • A count of contacts you’ve synced between two apps
  • Marketing engagements recorded to your CRM
  • Time of last data sync
  • The number of web visitors identified
  • The number of leads scored

It’s worth pointing out that this is our first iteration, and we’re already planning how to make the dashboard more useful to you. If you have specific ideas, please get in touch.

Include activity data from your CRM in your lead scores

As you may already know, our lead scoring feature is great for scoring leads based on multiple data sources: email engagement from tools like Mailchimp or HubSpot, website visits, and our own simple email tool. 

One request we’ve been hearing frequently is using data from CRMs. For example, increasing scores for people that have:

  • taken a sales meeting
  • visited a booth at a trade show
  • attended a webinar
  • …or done anything else that is recorded as an Activity in your CRM. 
Now you can combine data from your CRM with marketing engagement to calculate lead scores.

We’ve now added this capability, available for Copper and Pipedrive users immediately, with HubSpot and Salesforce coming soon. This functionality is available on our Professional plan. Learn more about using our Lead scoring feature.

As you may already know, we’re all about connecting sales and marketing data (so sales and marketing teams can work more closely together).

We’ve made it effortlessly easy to link up CRMs and email marketing tools as well as connect data from your website to your CRM. The one area of marketing we hadn’t touched in a major way was advertising. Until now, that is.

Most B2B marketers run ads to generate or nurture leads. We’re pleased to announce that it’s now easier to do both with our new Facebook/Meta Custom Audiences integration – available for Pipedrive, HubSpot, and Copper at this stage (with Salesforce coming soon).

What can you do by connecting your CRM with Facebook Custom Audiences

Our newest connection will make it easier to nurture leads in your sales pipeline(s) and to generate new leads with Facebook’s lookalike audiences functionality. More specifically:

  • Sync specific segments from your CRM to a Facebook Custom Audience for lead nurturing. This way you could do extremely well-targeted lead nurturing, for example, show ads to people in your sales pipeline, or in specific stages of your sales pipeline.
  • Easily build lookalike audiences of your best customers to generate new leads. Simply sync the list of your “Won” deals to a Custom Audience and let Meta’s algorithms do their magic in finding similar people to target.
  • Save lots and lots of time. As you’d expect, Outfunnel doesn’t just sync over data once but keeps it up-to-date. If new contacts start matching a segment in your CRM, or if some contacts are not part of a segment anymore, this gets reflected in the respective Custom Audiences. No more importing and exporting csv-files!

How to get started with the Facebook/Meta Custom Audiences integration

Once you’ve signed up to an Outfunnel account, go to Outfunnel > App connector, select your CRM and Facebook Custom Audiences, authenticate the apps, and click on Create connection.

Then you can:

  1. Choose the segment you’d like to sync over to the Custom Audience. (This can a people filter in Pipedrive, a list in HubSpot, or tag, lead status or contact type in Copper).
  2. Choose the Custom Audience you’d like to sync the CRM segment to. Please note the audience would need to be an existing customer list-based audience. You may need to set one up before using Outfunnel to sync contacts there.

Finally, click “Activate” – and you’re done. It may take several hours to first sync the contacts over. And from that point onwards Outfunnel adds any new contacts and removes any excess contacts once every 24 hours.
